Tips for Vessel & Crew Managers

Crewdentials is the perfect tool to keep all your crew information and certification in one place. Including tools to scan, auto profile and digitally verify certificates.


Saving your admin team and senior crew time and giving responsibility to crew to upload their information and keep it up to date.

  • giving crew their own Crew Profile that stays with them for their career, completely independent of any system. Keeping one version of their information up to date and easily sharing and updating their connections

  • Certificates being scanned and automatically profiled, meaning that they are consistently named and presented to ease reporting and compliance.

Your Workflows

You can have as many Workflows as you like to fit the way you want to use Crewdentials.


You could have:


  • one Workflow which is flexible enough for any crew member to submit the documents they have

  • a separate Workflow for each role onboard so that you can define, in accordance with safe manning requirements, exactly what certificates you need each role to have

Your Vessels

Go to Groups in the left hand menu and select New group, add the name of the vessel and press continue.


Within the Group, go to Settings and change the Group type to Vessel. At the bottom of the page click "add field" and choose which data fields you want.

If you want to create IMO compliant crew lists, make sure you select Length, MMSI, IMO, Call Sign and Flag State. Full guide here
If you want to create a Crew Scheduler (and safe manning) make sure you select the Crew scheduler data field. Full guide here

Press Done and make sure you save!


You can duplicate a Vessel (which will replicate all the data fields you have selected) by clicking the 3 vertical dots and selecting Duplicate Group settings

Adding a vessel document

You can add your key vessel documents such as certificate of registry, insurance documents. Simply navigate to Documents and click add Doc.


Scan and profile the document then access the document, and click the +Edit groups button. Select the right vessel.


You will be notified of any documents expiring!

Working with your existing systems

We recognise that a lot of managers will already have a crew or vessel management system in place (ps Excel doesn't count).


We can work alongside all sorts of existing systems, both when you are onboarding your crew and ongoing management.


Talk to us about your needs but in brief some simple use cases could include:


  • Using Crewdentials to onboard and manage crew certification in place of your existing system

  • Adding a URL to a Crew's profile into your existing system which means their documents will be easily accessible
