Tips for Training Providers

Crewdentials has many use cases for training providers, either as:


• a maritime specific tool to work alongside your LMS to gather pre-requisites from Crew, manage your certificates and share with Crew Members

• your database of course attendees and trainers and documents in place of spreadsheets, online or local computer storage and paper


Some example use cases are available below.


Either way, you will need to create a Workflow to attach your Crew to. We will cover Workflows on a later step.

Use cases

There are many use cases for training providers, depending on how you currently run your organisation.


Using Crewdentials you could:


• collect pre-requisites such as identity documents, or certificates for courses that require a basic level of training or qualification

• stay on top of expiring qualifications to keep you in touch with your returning attendees

• provide an electronic copy of certificates to attendees

• act as your primary or back up certificate storage

• manage the credentials of your trainers - ensuring they continue to be appropriately qualified for the role

• send joining instructions or directions, by adding Files to a Workflow or a Group

Integrating with an LMS

We know that a lot of the shore based learning management systems offer really great functionality, and we know how hard it is to change systems. If that's the case then we can help make that system better, and more relevant for the unique challenges that maritime training brings!


Crewdentials offers specialist maritime layer, delivering a seamless user experience for you and your applicants.


We are not looking to build booking, scheduling, or payment functionality but we can work alongside your LMS for the multitude of reasons listed on the earlier step.

Using Workflows as a Training Provider

Workflows are a flexible and customisable way of collecting information from, and providing information to:


  • attendees; or

  • your trainers


On your Workflow we recommend gathering enough data so that you can easily cross reference the attendee to your LMS database if you are using one.

If you are planning on sharing certificates with attendees, you can do this by ensuring there is a document block on the Workflow. This can be either an "anything" document block, or a specific one for the course they have attended.

Managing and Sharing Signed Certificates

Give your attendees a head start with their career by sharing an electronic copy of their certificate


If they accept the invite to create a Crewdentials Crew Profile then their certificate will appear - neatly profiled & presented and ready to share with whoever they like!


You will appear as a connection in their Crew Profile


Within your Workspace, add signed certificates and associate them with the individual attendee. Giving you a secure and easily accessible database of both crew and certificates.

Using Groups and Files as a Training Provider

Using Groups is a great way to organise your crew - whether this is by course type, or location, or date. You could even use them to create attendee lists


Adding Files to Groups or Workflows means that any crew associated with those Groups or Workflows will have instant access to what you need them to see. You could use this for joining instructions, or directions.

Looking after your Trainers

If your trainers are required to keep their own qualifications neatly organised and in date they can sign up for Crewdentials Profile.


You could also invite them to complete a Workflow so you can be sure they have all the right qualifications!


You could have one Workflow for all of your trainers, or individual ones based on the requirements for the courses they are teaching
