Files: Sharing with Crew

The types of Files you might want to share with a Crew Member might include:


  • Employee handbooks

  • Joining Instructions

  • Master's standing orders

  • Policies and Procedures


You can add Files to: 

  • a Crew Profile: great for providing a personalised document, or one that only applies to one person
  • a Group: great for providing a document to all crew in the same Group
  • a Workflow: great for providing information or documents to all crew completing the same Workflow 

Navigate to either 

  • the Crew Profile
  • the Group or 
  • the Workflow 

In the Files section, Click Add a File or Upload a File and select the appropriate file from your document library. 


Use the toggle switch to make the file available to a Crew Member.

You can delete a file but you will also be deleting it from the Crew's own Profile! 


⚠️ Once deleted, Files are not recoverable.  We therefore don't recommend using Files for documents that you don't have saved elsewhere ⚠️

The best way to share a certificate with an individual is by adding it to a Document Block in Workflow that the Crew Member is associated with. You can find a guide here

FAQ: Can you give me an example of when I might want to add Files to a Group or Workflow?


If you wanted to provide all Crew Members with the same information such as joining instructions, an employee handbook, master's standing orders or general policies and procedures


You can easily change whether the document is available to Crew Members by using the toggle switch under the File. You might want to do this when a file, such as a handbook or policy and procedure is updated
