Promotions, pay-rises and contract changes

You've got a few options depending on how your Workspace and Workflows are set up.  Let's start with some guidance for those of you with one Workflow (or where the crew member is being promoted to a role within the same Workflow).

Changes within one Workflow

It is probably easiest to run through this using an example. 


So lets say you a crew member is having a promotion effective in a few weeks' time:

- Click "add details" under "Contract change" in the contract details section- Use the arrows to put the most recent contract change to the top (contract change 1) as this will mean you can produce a contract (the data tags are below for you to paste into your templates)- if other terms such as holiday, probation etc are also changing, add these in the "notes" section and these can be pulled through to the contract- Produce the contact addendum using the templating and document production functions 


When the changes become effective, update the Salary data field in Financial Details section and update Role in Contract Details (and any other details such as probation, holiday etc that might have changed)


In summary, the Contract change data field serves a couple of purposes:- it's a way of recording information that is about to change or happen (so you can issue an addendum, but keep the current information such as salary correct in the main data fields until the change becomes effective) and also- a way of quickly seeing changes to contracts for the crew member over time.You can delete the contract changes if you/your clients don't want to keep them long term (the changes will always show in the History tab so they aren't lost)

Between Workflows

Follow these steps for where a crew member is moving from a role covered by one Workflow to a role covered by another.  


Simply add the Crew member to the other Workflow and fill in the details of the new contract and create the contract using the templating and document production functions.  


Add any documents that are relevant to the person's new role such as their certificates to the new Workflow.  


Add an end date to the existing Workflow and then, once the promotion is effective you can archive the previous Workflow, removing any Documents if necessary.
